A website enquiry checklist: from the first click to follow-up

A business website is ready to support enquiries when the whole journey works, not just the page design. A button can be clickable while the form behind it fails to notify anyone. Before launch, check what a visitor sees and what your team receives.
Make the next step accurate
Use a call to action that describes the action. If a visitor is sending a message, say request a consultation or discuss a project. Use book an appointment only when the visitor can select and confirm an available time. Link service-specific buttons to the right form or contact section and keep alternative phone or WhatsApp options visible.
Keep forms clear on mobile
Ask for the information needed to begin a conversation. Give fields visible labels, clear required-field indicators and useful error messages. Check the keyboard types for email and phone fields, the space around controls and the submit button on a small screen. A placeholder alone is not a reliable replacement for a label.
Verify notifications separately
Submit a clearly marked test enquiry and check both the website record and the recipient inbox. A stored submission does not prove that an email arrived, and a mail system accepting a message does not prove inbox delivery. Confirm the destination, sender, reply-to address and spam folder with the team that handles enquiries.
Set a helpful confirmation
Tell the visitor that the message was received and explain the next step without promising an unsupported response time. If the submission fails, show a usable alternative contact method. Do not ask the visitor to repeat sensitive information in a public comment or social message.
Use proportionate spam protection
Keep validation and the form system’s available spam checks active. A test should cover an empty submission, an invalid email and a valid enquiry. Check that protection does not prevent ordinary visitors from using the form. If an external verification service is needed, consider its effect on accessibility and privacy.
Measure completed actions responsibly
Track a successful form submission separately from a phone or WhatsApp click. The click is an expression of intent, not proof of a conversation or sale. Avoid including field contents or personal contact details in analytics events. Your sales follow-up process is needed to assess enquiry quality and business outcomes.
Give follow-up an owner
Agree who receives new enquiries and how they are reviewed. A CRM can help, but a clearly managed inbox may be sufficient for a smaller team. Choose a process that your team can maintain, then review it as volume grows.
